Overview
Flow Folio sells reconciliation clean-up as a product. Each customer connects its own sources, invites its finance team, and works a shared queue of unmatched transactions. We designed and built the platform, from the four-step wizard a new company sets itself up with to the admin console Flow Folio runs every tenant from.
The challenge
Every finance team ends up with a pile of transactions that match nothing. A bank credit with no invoice against it, a gateway payout covering ten orders, a point of sale takings figure that never reached the ledger. They get worked in spreadsheets and email threads, so nobody can say who owns an item, when it is due, or what was decided about it three weeks ago. Flow Folio wanted to sell that clean-up as a product, which meant one queue for every source and a separate, sealed workspace for each company paying to use it.
Our approach
Self-serve onboarding
A four-step wizard sets up the workspace, connects the first data sources, invites the team with roles, and confirms the setup, so a company starts working its queue the day it signs up rather than the week after.
One queue, many sources
Bank feeds, payment gateways, e-commerce, and point of sale all land in the same list. Bulk actions clear the obvious items together, and filters narrow the rest down to what one person has to decide today.
Multi-tenant by design
Each company gets a sealed workspace with its own sources, users, and plan. Isolation is enforced where the data is read rather than in the interface, and the admin console tracks usage per tenant.
Results
Flow Folio launched with self-serve onboarding and paying customers on two plans. Across the pilot, teams cleared 785 of 1,245 orphan transactions, 63 percent, with 320 still in review and only 140 past their due date. Three companies now run 30 connected sources and 60 users through the platform, and every item carries an owner, a due date, and a written record of how it was closed.
Our customers were doing this in a shared spreadsheet and a group chat. AppForger turned it into something we can actually sell, and the wizard means a new account no longer costs us a week of setup.
